Sample Interview Questions & Contract Template

 

  The following is an example of a basic wedding planner contract and agreement.  It can be used as a wedding coordinator template.

SAMPLE WEDDING CONTRACT TEMPLATE

   This Agreement is made effective as of _____________, by and between (wedding planners name here) d.b.a. (wedding planner company name here) (coordinator business address here); and (your name and fiancé name here). In this Agreement, the party who is contracting to provide services shall be referred to as (“Wedding Coordinator” or wedding planner company name here) and the party who will be receiving the services shall be referred to as "The Bride and Groom”.

 The Wedding Coordinator represents that they have extensive background in all aspects of the wedding/event coordination profession and access to a full range of related products and service contacts in the (enter wedding location here) and surrounding area.  The Wedding Coordinator is willing to provide services based on this background.

 We require that all vendors are selected from our list of our preferred caterers, rental agencies, wedding officiates, ministers, musicians, bands, DJ’s, entertainment, photographers and videographers, caterers, pastry chefs, hotels, lodges and private estate properties.  The above vendors and service providers mentioned have demonstrated superior professionalism and service contributing to the development of a successful business relationship with The Wedding Coordinator and all of our wedding clients. 

The wedding couple or agent of couple represents that the couple plans to be married on ____________________(date) and they desire to have wedding/event coordination, and related products and services provided by The Wedding Coordinator. 

Therefore, the parties agree as follows: 

1)    DESCRIPTION OF SERVICES:   The Wedding Coordinator will provide the following services: (include details for each line item below)

   ·Florals/Decorations: 

   ·Rentals:

   ·Music and Entertainment

 

 

     ·Formal Wear: 

   ·Transportation: 

   ·Catering:

   ·Outside events: 

   ·Photography and Videography

 

     ·Lodging: 

 

    ·Ceremony

   ·Wedding Officiate:

   ·Wedding/Reception Coordination:

 2)     COMPENSATION  FOR SERVICES:

a)    The wedding couple or  agent for the couple, agrees to pay an initial non-refundable retainer of  $____________ and a $_____________ non-refundable payment for floral expenses. This payment serves, as a retainer is due and payable at the time of contract signature.

(b)    The remaining payments will be billed monthly with the final payment due ________. The monthly billing will include required deposits for all services chosen, payment for coordination time at a rate of $       per hour and expenses incurred for phone, postage and shipping. Billable coordination time includes time spent both on behalf of the wedding couple and time spent in communication with the wedding couple or their agents. 

(c)    Payments may be via  (cash delivery, wire transfer, certified check, etc)

   3)     DATE CHANGES:

 In the event the wedding couple is forced to change the date of the wedding every effort will be  made by The Wedding Coordinator and staff to transfer location reservations, sub-contractors and The Wedding Coordinator support to the new date.  The wedding couple agrees that in the event of a date change any expenses including but not limited to deposits and fees that are non-refundable and non-transferable are the sole responsibility of the wedding couple.  There may also be additional charges above and beyond those set forth in paragraph 2 above.  The wedding couple further understands that last minute changes can impact the quality of the event and that The Wedding Coordinator is not responsible for these compromises in quality.

4)   CANCELLATIONS:

In the event of a cancellation all payments made to date are non-refundable and all outstanding payments will be due immediately.

 5)   REMEDIES:

In the event The Wedding Coordinator is unable to collect the required payments for any reason the following will apply:

(a)    Day 1-15:  All coordination efforts will cease

(b)    Day 16:  All location and sub-contractor reservations made on behalf of the wedding couple will be canceled and collection efforts for any remaining debt to The Wedding Coordinator will commence.

 6)   ACCOMMODATIONS: 

The wedding couple agrees that any property retained by The Wedding Coordinator on behalf of the wedding couple may require a separate contract.

7)   OUTDOOR LOCATIONS: 

 The wedding couple understands that The Wedding Coordinator provides certain outdoor wedding locations by special permit from the federal government or state agencies.  The wedding couple agrees that they and their invited guests will abide by the permit requirements while on federal land. The Wedding Coordinator is operated in accordance with the USDA policy which prohibits discrimination on the basis of race, color, sex, age, handicap, familial partners, religion, and or national origin.

8)   ENTIRE AGREEMENT: 

 This Agreement contains the entire agreement of the parties except   as noted in paragraph 6 above, and there are no other promises or conditions in any other agreement whether oral or written.  This Agreement supersedes any prior written or oral agreements between the parties.

 9)   AMENDMENT: 

This Agreement may be modified or amended if the amendment is made in writing and is signed by both parties.

 10)  SEVERABILITY:  I

f any provision of this Agreement shall be held to be invalid or unenforceable for any reason, the remaining provisions shall continue to be valid and enforceable. If a court finds that any provision of this Agreement is invalid or unenforceable, but that by limiting such provision it would become valid and enforceable, then such provision shall be deemed to be written, construed, and enforced as so limited.

 11)  WAIVER OF CONTRACTUAL RIGHT: 

The failure of either party to enforce any provision of this Agreement shall not be construed as a waiver or limitation of that party's right to subsequently enforce and compel strict compliance with every provision of this Agreement.

 12)  APPLICABLE LAW:  This Agreement shall be governed by the laws of the State of (enter your state here).

WEDDING COORDINATOR INTERVIEW QUESTIONS

       1.      How many weddings are you doing in our month? During our week?  On our day?

2.      How much experience do you have as a wedding planner?  How many weddings have your coordinated?

3.      What is the cost & charges associated with your service?  Be sure to ask for their pricing policy and payment methods and plans.

4.      Do you receive referral fees or commissions from your wedding vendors?

5.      Will you be in attendance at the wedding ceremony?  Reception?

6.      What is the backup plan in the event you are unable to attend?

7.      Can we have a list of references with whom we could discuss your previous events?

8.      How will we stay in touch and communicate through the planning process?  How often will we meet?  Talk?  How quickly do you get back to your clients? 

9.      What sets you apart from other wedding planners – are there any additional amenities or services you provide?

10.  How will you and your staff be dressed for our wedding ceremony & reception?
